Google Workspace with Gemini is Google’s integrated AI experience for businesses, organizations, and educational institutions using Google Workspace. It brings Gemini-powered assistance directly into applications such as Gmail, Google Docs, Google Sheets, Google Slides, Google Drive, Google Chat, and Google Meet, while also providing access to the standalone Gemini app and Gemini Notebook. The service is designed to help users write, summarize, analyze information, conduct research, create images and presentations, take meeting notes, automate workflows, and work with business information without leaving the Google Workspace environment.

Google introduced Gemini for Google Workspace in February 2024, when it renamed the previous Duet AI for Google Workspace experience and introduced Gemini Business and Gemini Enterprise offerings. The product has since evolved considerably. Google began incorporating Gemini AI features directly into Google Workspace Business and Enterprise subscriptions in January 2025, eliminating the need for the older Gemini Business and Gemini Enterprise add-ons.

One of the central features is Gemini in Workspace applications. Gemini appears in the side panel of Gmail, Docs, Sheets, Slides, Drive, and Chat, allowing users to access AI assistance while working. This makes it possible to summarize information, generate content, analyze documents, and work with information from different Workspace applications without constantly opening a separate AI tool.

In Gmail, Gemini can help users understand long email threads, summarize messages, draft replies, and write new emails. Users can provide instructions or context and have Gemini create a professional draft that can then be reviewed and edited. This can be useful for customer communication, internal correspondence, sales outreach, and everyday business email.

Google Docs provides another major Gemini use case. Users can ask Gemini to create drafts such as blog posts, project plans, reports, and other documents. Gemini can also proofread text, identify grammatical problems, and suggest stylistic improvements. This allows users to combine drafting and editing within the same document workspace.

In Google Sheets, Gemini can assist with organizing and processing data. It can create tables from natural-language descriptions, help organize projects and events, and use AI-powered Smart Fill to complete repetitive text-processing tasks. This makes Gemini useful for spreadsheet organization, categorization, basic analysis, and business data preparation.

In Google Slides, Gemini can generate custom images and visual material from prompts. Google has also expanded its AI capabilities for creating presentations and visual assets, giving users AI assistance for presentation design and content creation.

Google Meet includes several Gemini-powered features. Workspace editions can provide expanded limits, shared notebooks, customization, and usage analytics. Google emphasizes that notebook sources, queries, and responses remain within the organization.

Another important component is Workspace Studio. It allows organizations to automate everyday work, including more complex processes, using AI and natural-language instructions without requiring traditional coding. This makes Gemini relevant not only to writing and productivity but also to business-process automation.

Google also connects Gemini with AppSheet. Gemini for App Creation lets users describe a business process or application idea in natural language and use that description to build an app. Gemini in AppSheet Solutions can also add AI tasks to automations, including extracting and categorizing information from images and documents.

Third-party integrations extend Gemini beyond Google’s own applications. Gemini in Workspace can connect to services including Asana, Atlassian Rovo for Jira and Confluence, HubSpot, Mailchimp, Monday.com, QuickBooks, and Salesforce. These integrations currently allow users to retrieve information from connected services, such as finding tasks, reviewing CRM records, locating Jira issues, checking campaigns, or looking up financial records.

Data protection is a major part of Google’s Workspace AI offering. Google states that existing Workspace security and privacy protections apply to Gemini features. For business customers, interactions with Gemini remain within the organization, and Google says customer content is not used to train generative AI models outside the customer’s domain without permission.

Google Workspace with Gemini is therefore more than a standalone chatbot. It is an AI layer integrated throughout Google’s productivity ecosystem. Pricing

Google Workspace with Gemini is currently included within Google Workspace Business and Enterprise subscription plans rather than requiring the older standalone Gemini Business or Gemini Enterprise add-ons. Google’s current pricing page lists Business Starter at $7 per user/month, Business Standard at $14 per user/month, Business Plus at $22 per user/month, and Enterprise with custom pricing. These are standard prices shown on Google’s current pricing page; promotional introductory discounts may apply to new customers.

AI access varies by Workspace edition. Business Starter includes limited Gemini capabilities, including Gemini in Gmail and access to the Gemini app. Business Standard expands Gemini access across Gmail, Docs, Meet, and other Workspace applications, while Business Plus provides the higher-tier Workspace feature set. Enterprise provides additional security, administration, and enterprise capabilities.

Google also offers AI Expanded Access as an additional paid option for users who need higher access to advanced AI capabilities, including higher Gemini usage, Gemini Notebook capabilities, and advanced image and video generation.

For education customers, Google offers Google AI Pro for Education. Google’s current documentation lists the standard price at $24 per user/month under a Flexible Plan or $20 per user/month under an Annual/Fixed-Term Plan, subject to reseller arrangements and available discounts.

Review

Google Workspace with Gemini is particularly useful for organizations that already rely heavily on Google’s productivity applications. Rather than requiring employees to move information between a separate AI chatbot and their work applications, Gemini is integrated directly into Gmail, Docs, Sheets, Slides, Drive, Chat, and Meet.

The strongest aspect is this native integration. An employee can draft an email in Gmail, develop a report in Docs, analyze information in Sheets, create visual material in Slides, and summarize a meeting in Meet while remaining inside the same ecosystem. This reduces the need to switch between separate AI and productivity applications.

Gemini’s research capabilities also extend beyond simple text generation. The Gemini app supports deep research, while Gemini Notebook allows users to ground AI outputs in supplied sources. This makes the platform useful for research, knowledge management, planning, and analysis.

The third-party integration system is another useful feature. There are also limitations. AI capabilities differ significantly between Workspace editions, so organizations need to examine their specific subscription before assuming that every Gemini feature is available. Business Starter has more limited Gemini access than Standard and higher plans.

The product can also become complex because Google offers Gemini capabilities across many different products: the Gemini app, Workspace side panels, Gemini Notebook, Meet, Vids, Workspace Studio, AppSheet, and additional AI features. Organizations may need administrative configuration to control which capabilities employees can use.

Another consideration is that AI-generated content still requires human review. Gemini can help draft, summarize, analyze, and research, but users should verify important information before relying on AI-generated results for business, financial, legal, academic, or operational decisions.

For organizations already using Google Workspace, Gemini provides a broad AI layer that connects productivity, communication, research, meetings, automation, and data analysis. Its main advantage is not simply the underlying AI model but the way AI capabilities are integrated throughout an established workplace ecosystem.
