Motion AI

Motion AI is an AI-powered work management and productivity platform designed to combine project management, task management, calendar scheduling, meetings, documents, notes, dashboards, and AI-powered workflows in one workspace. Its central feature is automatic scheduling: Motion continuously plans tasks around deadlines, priorities, dependencies, meetings, and available time, then adjusts the schedule when circumstances change.

Motion was founded in 2019 and joined Y Combinator’s Winter 2020 batch. The company was founded by Harry Qi and has developed from an AI scheduling and productivity application into a broader work-management platform for individuals and teams.

The platform’s core concept is AI-powered time management. Instead of simply storing tasks in a list, Motion considers when tasks need to be completed, how long they are expected to take, their priority, dependencies, and the user’s available working time. It then automatically places work into the calendar. When meetings are added, priorities change, or a task is delayed, Motion can reorganize the schedule accordingly.

Motion includes an AI Task Planner that automatically prioritizes and schedules work. Users can provide tasks with deadlines, priorities, durations, and other information, while Motion’s scheduling system determines when those tasks should be completed. The system can also identify tasks that are at risk of missing deadlines and adjust plans as work changes.

The platform also includes an AI Project Manager. Instead of manually creating every task in a project, users can describe a project and Motion can generate a project structure containing stages, tasks, deadlines, and suggested assignments. Project plans can also be saved as reusable templates for recurring work.

Motion’s AI Calendar brings tasks and meetings together. Users can connect multiple calendars, including Google Calendar, Outlook, and iCloud Calendar, allowing work and personal events to be considered when planning available time. Motion can also automatically reschedule work when the calendar changes.

The platform includes meeting scheduling and booking tools. Users can create booking pages that allow others to schedule meetings based on their availability. Motion also integrates with meeting platforms such as Zoom, Google Meet, and Microsoft Teams.

Motion provides an AI Meeting Notetaker that can join supported Zoom, Google Meet, and Microsoft Teams meetings. It generates transcripts, summaries, and suggested action items, which are stored inside Motion and can be connected to tasks and projects. The current documentation states that the Notetaker understands 102 languages but transcribes meetings in English.

Another component is AI Chat. Motion’s AI Chat allows users to interact with their work using natural language. Users can ask questions, create or update tasks, search work information, and perform other actions without manually navigating through multiple areas of the application.

Motion also provides AI Docs and Notes. Users can create documents, notes, processes, wikis, and other knowledge resources. The AI Docs Assistant can help draft, edit, summarize, organize, and transform information into tasks and projects. Motion’s documents can contain tasks, projects, tables, images, attachments, and other contextual information.

The platform includes an AI Workflow Builder for turning repeatable processes and standard operating procedures into automated workflows. Users can create SOP documentation and then use Motion to transform those processes into project templates, tasks, and assignments. This is intended to reduce repetitive project setup and coordination.

Motion also provides AI Dashboards and Business Intelligence features. Teams can monitor project progress, workload, capacity, and predicted completion dates. Business plans include advanced dashboards and reports, team capacity planning, timeline and Gantt charts, and time tracking.

The current platform increasingly positions Motion as an AI employee work platform. Motion describes AI employees as systems that can operate using context from projects, tasks, meetings, documents, and company processes. These capabilities are designed to automate repetitive work and support functions such as sales, marketing, operations, support, and project management.

Motion supports AI-powered search across work information. Users can search projects, documents, meeting notes, tasks, and other content through natural-language interactions. This reduces the need to manually search through separate productivity tools.

The platform also supports Inbox and centralized work management. Tasks, messages, notifications, and other activity can be collected into a central area, allowing users to review and organize incoming work before incorporating it into their schedule.

Motion provides project views and visualization tools. Depending on the subscription, users can access list and project views, dashboards, timelines, Gantt charts, and workload information. These tools allow teams to track project progress and resource allocation while Motion’s scheduling system handles changes to the underlying work plan.

The platform also provides AI-powered writing and editing. Its AI Writer & Editor can assist with creating and improving documents, messages, processes, and other written material. The AI can also use information already stored in Motion, giving it more context than a standalone writing assistant.

Motion supports email-to-task workflows. Users can forward emails to Motion so that email content and attachments can become tasks. Siri integration also allows users to create tasks using voice commands, after which Motion’s scheduling system can place the work into the calendar.

For developers and businesses, Motion provides a public API. The API allows applications to create, update, and manage projects and tasks. Motion provides API documentation, API keys, endpoints, and examples for connecting external systems to Motion.

Motion also works with Zapier, allowing users to connect Motion with thousands of other applications. This enables workflows such as creating Motion tasks from form submissions, CRM activity, emails, or other external events.

Motion’s integration ecosystem includes Google Calendar, Outlook, iCloud Calendar, Gmail, Google Meet, Microsoft Teams, Zoom, Siri, and Zapier as documented integrations. The company also advertises connections with business applications such as HubSpot and Salesforce, alongside its API for custom integrations.

Motion is available through web, desktop, iOS, and Android applications. The current Pro AI and Business AI plans include iOS, Android, and desktop applications.

Security is also part of the platform’s enterprise offering. Motion states that its data is encrypted in transit and at rest and that the company is SOC 2 Type 2 compliant.

Motion is therefore best understood as an AI-native work-management and scheduling platform rather than simply a calendar or task manager. Its main differentiator is the combination of automatic time planning, project management, AI meeting assistance, documents, workflows, dashboards, integrations, and AI-powered work management within one system.

Pricing

Motion currently offers Pro AI and Business AI plans on its public pricing page. Pro AI is listed at $19 per seat per month when billed annually, while Business AI is listed at $29 per seat per month when billed annually. Motion states that annual billing saves 33%.

Pro AI includes AI Chat, AI Projects & Tasks, AI Calendar & Meetings, AI Docs/Wiki/Notes, AI Task Planner, AI Writer & Editor, unlimited storage, integrations, and applications for iOS, Android, and desktop. It includes 7,500 AI credits per seat per month.

Business AI includes everything in Pro AI plus team capacity planning, advanced dashboards and reports, timeline and Gantt charts, time tracking, permissions and access control, central billing, priority support, and 15,000 AI credits per seat per month.

Motion offers a free trial and states that users can cancel it without being charged.

Additional AI credits can be purchased after the included monthly allowance is exhausted. The current pricing page lists 7,500-credit packs at $0.25 per 100 credits and 15,000-credit packs at $0.19 per 100 credits.

Review

Motion’s strongest feature is its automatic scheduling system. Unlike traditional task managers that primarily tell users what needs to be done, Motion attempts to determine when work should be completed and continuously adjusts that schedule around changing priorities and calendar commitments.

The combination of tasks, projects, calendars, meetings, documents, and AI also gives Motion substantial context. AI features can work with information already stored in the workspace, reducing the need to repeatedly provide background information when asking the system to create or organize work.

The AI Project Manager and Workflow Builder make Motion particularly useful for recurring business processes. Teams can generate project structures, save them as templates, and use workflows to standardize processes such as onboarding, client delivery, marketing campaigns, and other repeatable projects.

The meeting functionality adds another layer of automation. Motion can capture meeting notes, generate summaries and action items, and connect those outputs with tasks and projects. This reduces the need to manually transfer decisions from meetings into a project-management system.

The main consideration is pricing. Motion is subscription-based and its AI features now operate through monthly credit allowances. Users with frequent AI Chat sessions, meeting transcription, or other AI-heavy workflows may consume credits faster and need additional capacity.

Another consideration is that Motion’s broad functionality can make it more involved than a simple calendar or task application. Users who only need basic scheduling may not need its full collection of project management, documents, dashboards, AI, and workflow features.

Motion also remains primarily an English-language application. Its help documentation states that the app currently does not offer another interface language besides English, although the AI Meeting Notetaker can understand 102 languages while producing transcripts in English.

Motion is particularly suited to professionals, project teams, service businesses, marketing agencies, consultants, sales teams, executives, startups, construction companies, and real-estate organizations that want automatic scheduling combined with AI-powered project and workflow management.
